How we work with you
Getting to Know You:
After you contact us, our first step is to learn about your travel requirements (where you want to go, how you like to travel, your timeframe, who´s coming with you, budget, health and diet considerations, etc.) and your interests and passions. Based on this information, as well as our expertise, we create a complimentary preliminary itinerary and budget for your luxury tour to Peru, Bolivia or Ecuador.
Itinerary Development:
You review that initial itinerary and provide thoughts and additional requests. We revise as necessary to better match your needs and expectations. We will be in touch by phone and email until you have a program you are delighted with. This is a joint process based on an on-going dialogue between you and our travel experts.
Finalization, Confirmations and Deposit:
When you are happy with your itinerary and provide final approval, we will begin the process of confirming your hotels and trains. This process takes between two and three business days. Once we have received confirmation, we will report to you and request a 30% deposit for your trip*. This saves you from receiving surprise changes after you´ve already made a deposit. Upon receipt of your deposit, we reserve tours, transportation and entrance tickets. Each aspect of your trip is confirmed in advance so you can be confident that every detail is taken care of and that there will not be any last minute changes.
Preparing for Departure:
When we have finished checking and re-checking every detail of your luxury tour to Peru, Bolivia or Ecuador, you will receive a detailed itinerary by email. This document will include a day-by-day account of activities (with background information and history) as well as guide meeting times and locations. It will include all hotel names, addresses and contact information, as well as useful details and key transportation information. Additionally, you will receive contact names and numbers for your Kuoda team and helpful travel information, such as packing tips, details about changing money, insurance suggestions, health precautions, etc. Ninety days before departure, we request the remainder of your payment.
Arrival and Your Travel Experience:
You will be met at the airport by your Kuoda host, who will take you to your hotel, check you in, review your itinerary with you and provide directions for meeting your guide. This person will answer any questions you may have and ensure that your arrival is smooth and your transition seamless. From that moment on, you can relax. Your guides will take you through your itinerary, tailoring the experience to you and your traveling companions on a daily basis. The guides will manage all logistics (from transportation to entrance tickets to hotel check-in to dinner reservations) and smooth any bumps in the road. Kuoda's customer service representative will be in touch every other day to make sure all is as you desired, and your Kuoda team will be available by phone 24/7 to answer questions and provide help. All you need to do is enjoy yourself!
Returning Home:
When, alas, it is time to return home, a member of your Kuoda team accompanies you to the airport, assists with check-in and ensures you are comfortably settled on your departing flight.
*Kuoda accepts credit card, check or wire transfer. All clients receive invoices and receipts for payment.
